PipeMines Growth System Checkup
Free DIY checkup · about 5 minutes

Do you need more leads — or a better system?

Answer a few plain-English questions. See where growth is leaking, whether paid media needs better reporting or analyst oversight, and what to fix first.

✓ Works for pre-launch founders✓ Works for existing small businesses✓ No marketing jargon required
1Your business

First, where are you starting from?

There is no “bad” starting point. Pre-launch businesses need a first system. Existing businesses usually need to fix or connect what they already have.

Use total sales before expenses. If you have not launched yet, enter 0.
Use the first purchase or a conservative first 90-day value.
Think ads + creative + systems + sales support. This is not a PipeMines price quote.
We use this only to estimate a more realistic break-even customer count.
2Getting attention

How do customers find you — or how do you plan to find them?

Pick what you use today. If you are pre-launch, pick the channels you are considering.

If referrals disappeared for one month, how worried would you be?
1 = not a problem · 5 = I would struggle to replace those customers
3PPC + paid media control

Do you need PPC management, a PPC analyst — or both?

Campaign management and analysis solve different problems. PPC management runs and optimizes the campaigns. A PPC / paid-media analyst independently reconciles spend, lead quality, refunds, revenue and weekly budget decisions across platforms, agencies and paid-lead vendors.

What this diagnoses: whether you need hands-on PPC management, an independent PPC / paid-media analyst, a single source of truth (SSOT), lead/call refund recovery, stronger attribution, vendor oversight — or only light-touch reporting.
Management handles bids, budgets, campaigns and optimization. Analyst oversight checks whether the numbers, lead quality, attribution and spend decisions actually make sense.
Think Google, Meta, Microsoft, LSAs, pay-per-call, marketplaces and outside lead vendors.
A useful SSOT usually connects spend → leads/calls → serviced or qualified outcomes → revenue → CPA / return.
Examples: duplicate leads, wrong intent, spam, outside service area, non-serviceable calls and other supplier-defined dispute reasons. Eligible disputes should be documented, submitted and reconciled back into effective spend.
Without this, reported CPA and source performance can stay artificially worse even after money is recovered.
Where would better paid-media management help most?
4Following up

When someone is interested, what happens next?

If you are pre-launch, answer based on the process you plan to use. “I don’t know yet” is a useful answer — it tells us the system still needs to be designed.

If you have no data yet, use your best estimate or leave the default.
Example: 20 means roughly 20 out of every 100 reached leads buy.
How do you follow up now — or plan to?
5Your system

Can you see every lead from first click to closed customer?

You do not need fancy software. You need a clear place where leads live, who owns them, what happens next, and which activity turns into revenue.

Select what is actually working today.
The more places a lead can hide, the easier it is for follow-up and reporting to break.
6What you need

What would make growth easier right now?

Pick anything you would rather have built, managed or improved instead of figuring it out one tool at a time.

Areas you need now or within 90 days
This shows the “time tax” of a system that still depends heavily on manual work.
About the cost comparison: the results use one simple assumption — PipeMines' lean delivery model is shown as 15% below an equivalent global execution benchmark. It is an illustration, not a quote or guaranteed saving.
Your PipeMines growth diagnosis

Readiness: —
Growth-system need
—
Potential revenue at risk
—
CRM / RevOps maturity
—
Higher means your lead handling and reporting foundation is healthier.
Paid-media control
—
Shows whether your paid spend is organized enough to manage confidently.

What your scores mean

Higher maturity is better. The lowest bars are usually where you should improve before adding more complexity or ad spend.

Paid media intelligence

Do you need PPC management, PPC analyst oversight, or refund recovery?

—

Your answers will determine whether paid media needs a dedicated analyst layer, lighter reporting support, or no additional oversight yet.

Paid-media control maturity
—
SSOT, attribution, auditing and weekly budget control.
Priority gaps / requested support
Complete the questions
PPC management need — Campaign execution, optimization, budgets, bids and channel management.
PPC analyst need — Independent reporting, attribution, lead quality, pacing and budget recommendations.
Refund recovery process — Lead/call audits, dispute evidence, refund appeals and credit reconciliation.
PPC analyst ≠ PPC manager. PPC management runs campaigns. The analyst layer independently reconciles data across platforms and vendors, checks lead quality, audits paid calls, tracks refunds/credits, validates attribution and turns prior-week CPA / revenue / lead quality into the next budget action.

What missed follow-up may be costing you

This values leads you are already getting but may not be reaching. It is not a promise that every missed lead would have bought.

Potential unreached leads
—
per month, based on the contact rate you entered.
Potential revenue sitting behind those leads
—
12-month cost-of-inaction scenario—

Method: monthly leads × unreached % × your close rate × average customer value. This is a directional scenario, not a forecast.

Can the growth investment pay for itself?

Instead of comparing budget to revenue alone, this uses your estimated gross margin to ask how many extra customers could cover the investment.

Monthly growth budget you selected
—
Ads, creative, systems and sales support combined.
Approx. extra customers needed to cover it
—

Your execution-cost comparison

This is intentionally simple: selected functions are translated into an equivalent global execution benchmark, then compared with a lean PipeMines delivery model at 15% below that benchmark.

Equivalent global execution benchmark
—

Benchmark is directional and models blended execution capacity rather than pretending you need four separate full-time hires.

Illustrative PipeMines delivery level
—
Illustrative monthly difference—
Illustrative annual difference—

This is not a PipeMines quote and does not guarantee identical scope, speed, seniority or output. It simply applies a 15% lower delivery assumption to the tool's global benchmark.

Your first 30 days

Based on your answers, these are the first three moves most likely to make the rest of the system easier to improve.

The time tax

Manual work is not always bad — but if the owner is the glue holding every handoff together, growth becomes hard to repeat.

Manual work each month
—
estimated from the weekly hours you entered.
Manual work each year
—
hours that could potentially be reduced, delegated or automated.

A consultation validates the assumptions, checks where leads or revenue are really being lost, and maps what PipeMines should build first — paid media, analyst / SSOT oversight, CRM, automation, creative, inside sales or outbound.
